Describe the Load, Not the Label

Write down what actually has to travel: chairs, staging, catering kit or fencing, and roughly how much of it. Bulky but light items fill a cargo bay quickly, so count volume alongside weight. If two trucks look plausible, name both and invite the hire firm's recommendation.

Sort the Driver Question Early

Only drivers named on the agreement receive the keys, so decide the line-up before you enquire. Include anyone who might reasonably take a turn behind the wheel, since adding names later means fresh checks. Mention penalty points or a licence issued abroad in your first message.

Work Backwards from Hand-Back

For a one-day event, count the hours honestly: collection paperwork, loading, the drive, unloading at the venue and the return trip. Plan in reverse from the latest sensible hand-back time and leave slack at each stage, because jobs overrun far more often than they finish early.

Ask About Costs and Cover Up Front

Before signing, ask what insurance comes with the truck, how the excess and deposit work, and what the mileage allowance covers. Assume windscreens, tyres and your own goods sit outside standard cover until told otherwise. Written replies also make quotations easier to compare.
