Fix the Dates First

Start with the calendar. Fix your hire dates and rough duration. Set collection and return hours you can keep. Handovers take time. There is travel, paperwork, an inspection and loading at each end. Ask about late returns and extensions while everything is still provisional. Get anything agreed in writing.

Settle the Driver Line-Up Early

Decide who drives before you contact anyone. Only named drivers may take the wheel. List everyone with a realistic chance of a turn. Check each licence is current. Note penalty points or licences issued abroad. Ask what documents and deposit each driver brings to the handover.

Write Down the Money and Cover Questions

Write your questions down now. Ask what insurance comes with the truck. How big is the excess? Can it be reduced? How is the deposit held? What does the mileage allowance cover? How is fuel handled? Assume windscreens, tyres and cargo sit outside standard cover until told otherwise.

Describe the Load Honestly

Describe the job, not a vehicle. Measure what must travel. Note anything heavy, long or awkward. A family moving day might involve a fridge, a wardrobe and a dozen boxes — bulky rather than heavy. Mention narrow lanes, tight gateways or tricky parking. Ask the firm to recommend the right size.
