Tell Them What's Actually Going In

Think through the load before ringing. A fridge-freezer needs a Luton with a tail-lift; a few boxes will sit happily in something smaller. Saying 'a big one' helps nobody, whereas rough dimensions and an honest guess at weight let the depot match you to the right vehicle.

Say When You Need It, Plainly

Be blunt about timing. State the collection day, the hour you need the van, and when it goes back. A buffer day for delays or a second load often costs little more than a last-minute extension would. Popular weekends, especially in summer, can be booked out well before you'd expect.

Sort the Licence and Cover Questions Early

Give the Handover Real Time

Treat the handover as part of the job, not a formality. Walk around the van, photograph any marks, and check where the fuel gauge sits. If you're setting off early, ask whether the yard opens before your slot and whether you can drop the keys through a letterbox afterwards.
